The assessment covers six domains — 10 competencies each:
Domain 1 — Leadership (10 competencies) Setting clear expectations, holding accountability without avoiding, monthly one-on-ones, addressing performance within 48 hours, giving specific feedback, running purposeful team meetings, consistency, modelling standards, making confident decisions, and investing in leadership development.
Domain 2 — Operations and Systems (10 competencies) Proactive appointment book management, recall system consistency, FTA rate below 5%, understanding production and revenue numbers, written and followed SOPs, systematic stock management, lab work tracking, equipment maintenance, operating proactively rather than reactively, and effective delegation.
Domain 3 — Financial Management (10 competencies) Weekly production and revenue review, monthly financial summary to the Practice Owner, KPI understanding, identifying revenue shortfall causes, accounts receivable management, stock spend against budget, monitoring major cost drivers, fee schedule review within 12 months, distinguishing production from revenue, and proactively optimising schedule utilisation.
Domain 4 — Team Management and Culture (10 competencies) Knowing how each team member is feeling, effective 90-day onboarding, current signed job descriptions for every team member, substantive performance reviews, prompt conflict management, positive team culture, identifying retention risks, celebrating wins specifically, current HR records, and Award compliance awareness.
Domain 5 — Compliance and Risk Management (10 competencies) Proactive AHPRA registration checks, current CPR certificates, current radiation licences, WHS obligations, infection control auditing, clinical waste management, privacy and APP compliance, current emergency procedures, equipment maintenance records, and state-specific regulatory awareness.
Domain 6 — Patient Experience (10 competencies) Consistently excellent new patient experience, active online review management, front desk communication standards, recall pre-booking above 80%, clear treatment plan presentation with fee disclosure, prompt complaint resolution, a patient experience patients comment on positively, physical environment standards, using patient feedback to improve, and being able to describe the patient experience accurately in three sentences.
Scoring and Action Planning Each competency is rated on a 1–5 scale (Not Yet / Developing / Capable / Confident / Exceptional). Domain scores are totalled out of 50, with an overall score out of 300. A score interpretation guide gives context:
- 240–300 — High-performing PM: Well-led practice, focus on lowest-scoring domains
- 180–239 — Capable PM with clear opportunities: Solid across most areas, build a focused plan
- 120–179 — Developing PM: Honest about the biggest gaps, get support
- Below 120 — New to the role or significantly stretched: Prioritise fundamentals
Closes with a quarterly action plan — three specific priorities, how to achieve them, and a completion date. Designed to be completed quarterly and tracked over time, so PMs can see their own growth.
