A Structured Agenda and Recording Tool for Monthly One-on-One Meetings in Dental Practices
The monthly one-on-one is the single most powerful leadership tool a Practice Manager has. It is a private, structured conversation — a dedicated space to check in, give feedback, hear what is happening from the ground up, and reinforce standards and expectations. Most practices do not do them. Most teams notice.
The One-on-One Meeting Template 2026 gives Practice Managers a complete, structured agenda and recording tool for monthly one-on-one meetings with every team member — covering preparation, a seven-step meeting structure with exact language for every scenario, mutual action items, and a full-year team tracker to ensure one-on-ones happen consistently across the whole team.
The template is structured across three parts:
Part A — Before the Meeting (PM Preparation) A five-minute preparation checklist covering: reviewing action items from last month, reviewing performance observations, checking relevant KPIs, identifying one specific piece of positive feedback, identifying one development area, and noting any practice updates to communicate directly. Includes a structured preparation notes section — positive observation, performance area, follow-up items, and practice update — so the PM walks in ready, not reactive.
Part B — During the Meeting (Session Record) A seven-step meeting structure with exact suggested language for every situation:
- Open — personal check-in (3–5 minutes): A genuine question, not a formality — "How are you going generally, inside and outside of work?"
- Wins — celebrate what is going well (5 minutes): Specific, observed positive feedback — "One thing I've really noticed this month is [specific behaviour]. That made a difference because [impact]."
- Performance and accountability (10 minutes): The core of the meeting — with a situation-by-situation language guide covering strong performance, performance needing improvement, a previous commitment that was met, a previous commitment that was not met, and a gap in KPIs
- Challenges and blockers (5 minutes): "What is making your role harder than it needs to be right now?" — the question that surfaces what the PM would not otherwise know
- Development (5 minutes): "Is there anything you'd like to learn or develop in your role over the next few months?" — because people who feel they are growing stay, and people who feel stagnant leave
- Practice updates (2–3 minutes): News and changes communicated directly, not through the grapevine
- Close — action items and next meeting (2 minutes): Both people leave with specific, written commitments — team member commits to, PM commits to, with a signature block for acknowledgement
Part C — After the Meeting Filing instructions, a reminder to set follow-up reminders for PM commitments, and a full-year monthly one-on-one tracker — a grid covering every team member across all 12 months, so the PM can see at a glance whether one-on-ones are happening consistently or slipping.
Who this is for:
- Practice Managers who want a consistent, structured approach to monthly one-on-ones that builds trust and drives accountability
- PMs who currently have informal check-ins but no structured record or follow-up system
- Practice Owners who want their PM to have a documented, repeatable one-on-one process
- Any PM who wants to improve team engagement and reduce the number of performance issues that escalate because they were never caught early
📄 Format: 7-page editable Microsoft Word document (.docx) — designed to be printed fresh for each meeting or used as a recurring digital template; one copy per team member per month, filed in their personnel file
