A complete consumables and minor equipment spend tracking and budget management spreadsheet for Australian dental practices — 18 tabs covering monthly invoice logging, annual budget building, supplier analysis, and a live spend dashboard. Built in Microsoft Excel with automatic calculations, budget variance tracking, and colour-coded alerts throughout.
Dental consumables are one of the largest controllable costs in any practice. Most practices have no clear picture of what they spend, with whom, or whether they are over or under budget. This tool gives you complete visibility — so you can set a real budget, track every invoice, identify overspend early, and use your data to negotiate better pricing with suppliers.
✔ Microsoft Excel format — fully editable, no macros required
✔ 18 tabs — 12 monthly invoice logs, annual dashboard, setup, supplier analyser, budget builders, and instructions
✔ Pre-loaded with 12 common Australian dental suppliers
✔ Automatic budget vs actual variance tracking with colour-coded alerts (green = underspend, red = overspend)
✔ 2026-compliant — covers 2025–2026 financial year with CPI and savings target settings
✔ Instant digital download
✔ Single-practice licence
What's Included:
Setup Tab
Your central configuration hub. Enter your practice name, set your CPI/price increase assumption (default 3%), and set a savings target percentage if you are driving a cost reduction. Net budget adjustment calculates automatically. Includes a Quick-Start Checklist to get you running in minutes.
Monthly Tabs — January through December (12 tabs)
One dedicated tab for every month of the year. Each tab has two sections:
Consumables Spend — log every consumables invoice with date, supplier, invoice number, category, item description, amount, and paid status. Pre-loaded with 12 Australian dental suppliers (Adam Dental, AR Instruments, Dentavision, Dentsply, Geistlich, HSH, Mayfair, Medident, Medifocal, Piksters, Ray Purt, TQL) plus space for additional suppliers. Budget and variance figures display automatically at the top of each tab.
Minor Equipment Spend — a separate section in each monthly tab to log minor equipment purchases independently from consumables, so equipment purchases never distort your consumables budget.
Each monthly tab also includes a Preferred Suppliers panel — record rep names, phone numbers, account numbers, and negotiation notes for every supplier. Over time this becomes a valuable purchasing reference.
Summary Dashboard Tab
A 12-month spend dashboard showing actual vs budget for both consumables and minor equipment — month by month and annual total. Variance figures are colour-coded: green for underspend, red for overspend. Designed to be reviewed monthly with your practice owner and printed or screenshared in your monthly PM meeting.
Dental Consumables Budget Tab
Enter last year's actual monthly consumables spend — this year's budget targets calculate automatically using your net adjustment percentage from Setup. Override individual months where needed. Notes column for flagging unusual months.
Minor Equipment Budget Tab
The same budget builder for minor equipment spend — separate from consumables so both categories are tracked and budgeted independently.
Supplier Analyser Tab
Track annual spend per supplier to identify consolidation opportunities and negotiate better pricing. Enter H1 and H2 totals per supplier — annual total and % of total spend calculate automatically. Includes Resolve's guidance on using spend data to consolidate to 2–3 primary suppliers and negotiate volume discounts and rebates.
Instructions Tab
Step-by-step setup guide, Resolve's seven cost-reduction tips (including how to consolidate suppliers, negotiate at year-end, batch orders, and identify your top 5 spend categories), and a colour guide for the spreadsheet.
Resolve Dental Consultancy benchmark: dental consumables should be 6–8% of gross fee income. If you don't know your current percentage, this tracker will tell you — and give you the data to bring it down.
